business letter headings

Elements of a good business letter
The essential elements that enter into the composition of a letter of good business can be divided into two categories – mechanical, cosmetic and content. Before a letter can come into existence must be the mechanical side treated. The subject may be relevant and well composed and yet the letter itself be arranged typo-graphical and arranged on the page that the unit the whole is lost.
The display as a whole should balance. Before the reporter begins to address the calculation must be done the number of lines of the letter will be managed and how it should be arranged on the page. The body of the letter must not be piled near the top or bottom of the sheet, but should be positioned so that, viewed in the context of the letter head, he presents a well balanced and artistic effect.
This effect is often underestimated, is in fact spent without a thought by the average reporter, and the ordinary business man is so busy Seeing that his dictation is transcribed correctly it gives little attention to this essential. Harmony of color effect should be observed. Rolls yellow paper listing the firm in blue, green and the letter signed in purple ink is not recommended.
Fuzzy letters in print wet press or any other violation of cleanliness can not help produce an unfavorable impression. Spelling and capitalization, especially proper names, should be accurate and consistent.
A misspelled word in the body of a letter, especially if a mere transposition of letters in typing, can sometimes slip and not to any special, but the misspelling of the name of the requested Party may lose an order, and can help to militate against the general effect of the letter. Cleanliness uncompromising cleanliness – which should be the first effect of a letter, giving the idea that the company put in writing is thorough master of the minor (and major) details of its activities.
Contents
In drafting the letter, the content can be divided into the matter and expression. The subject is, roughly, what the author says. This should coincide with two other things:
(1) what the writer means, and
(2) that the one addressed wants to know.
Something that is the basics of life and a matter of routine to the writer in a certain line can be abstruse and complicated for non-technical reader. To avoid an offensive simplicity of language on the one hand and excessive technicality is another one of the tests of corresponding deals. There is a slight tendency to simple questions asked by investigators every day different, which should be avoided putting himself in place of asking one issue, and give knowledge to which he is seeking.
A most, if not more, important, essentially a letter of good business is in the correct expression. The only thing that causes more failures in business correspondence than any other, is the incorporation of personal peculiarities, in a letter. It may be called to mind in Indeed, more of an established company backed by ample capital, with broad and funded by businessmen able and conservative, which is thank you for the one poor correspondent. This is aptly expressed by Crissy Forrest, who said:
"While seeming to be the importance of this branch (tact and your letter post) of the systematization of business, barely a word of argument is necessary to enforce its necessity. Very recently, a large set of sale merchant said:
"I recently had to pay the head of my credit department – my man of confidence. He is honest, wise and clever, but recently, I was awakened by the fact that his inability to write a letter that does not leave a sting, a cold, or at least a high sense of indifference, is hurting my business more than would a downright irresponsible blunders. When he wrote a letter granting a good customer a greater degree of credit, he gives her a key which in some so that the client wishes it had not applied for credit and thus placed himself under obligations added. And if he refuses to answer the demand for such a favor for the refusal is made so it seems a studied effort to conceal a lack of strong will to give any credit.
Yet this man has always considered self-versed in the drafting of letters – and for once, he got completely mesmerized in this point of view. But after further withdrawal of patronage and occasional retorts the voice that caused her letters imposed on me a recognition of the state real things. Then I got out of a man who could write a business letter that had the ring of law, if that was not sloppy that it sounded hypocritical or so stiff and stilted that there was no tone of conviviality bargains rich in it.
I found him. It is high, but the difference in results is remarkable. Of course, there are other things needed for this form of literary talent – This is what you call. He must have business experience, trying cases and all the other cardinal virtues of business, but adding this capability own writing business letters that hit the mark is a rare gift and made him a star man. " "
Simplicity and clarity of expression as an element can not be valued too high. To say that something in plain language, the common people, does Adding to the style and dignity of a letter, but the most essential element to be understandable. As Chas. A. Weirs said: "The eloquence, whether real or imaginary, has no place in a business letter."
Whatever else can be neglected in the writing, courtesy should not be neglected. A man can be told anything about face to face – it is qualified by the level, tone of voice, manner and professionalism of the speaker. A sentence may be given a whole new meaning by a tone or a gesture – it may even be changed after diplomatically spoken part, to conform to the unconscious demand of the listener, and especially of the spoken word is transitory. What is written on the other hand, is placed in black and white to stay. The record is permanent. It can be presented as evidence, can be dug in place for later, from a musty file, and rudely queer writing might not only an immediate sale, but sales of a decade.
Length
Letters have a tendency to verbosity because they are driven, instead of writing. If a man write his own letters in pen and ink he would study the brevity and concision of expression, but having written letters to him, he will dictate more than what he wrote. Brevity is not always desirable. Some people – especially those who receive some letters – receiving a long correspondence. Getting a few letters, they want those long and Newsy.
A letter is an event to some customers and can not be too long for a careful reading. In this class of letters ad-dressed the part can be often used in conversational style, like, "the judge of the goods yourself, Mr. Brown, "" We ask you, Mr. Smith, if we do not have it treated fairly? "Etc. At the other extreme is the man business, including the businessman of the city. For him, the brevity of the tip of drought is always welcome. As someone alliteratively said, the formula of a business letter is a busy man: Mr. Say it. Stop!
Judging from the other letter man.
One of the prerequisites of a good match is the ability, inherent or acquired to judge the general character and status of the writer through his letters. Until recent years, the letterhead of a company has been a considerable Guide the reputation of the company to put it, but right now print is much more frequent and concern to a horse out conservative stationery acquired-up.
Ability to recognize the efforts of a curious schoolboy amateur or a catalog with no intention of buying and treat the writer accordingly, called for almost occult powers. The president of one of the companies to large machines a cement mixer for sale $ 850.00, reported that one of the travelers visited the company in Detroit in response to an apparently well in advance and found a boy of twelve years, wanted a dozen mixers "to go in the mail with."
Some companies that provide expensive catalogs to write a letter requesting an investigator doubtful to fill a void of information before sending a catalog. Interpretation correct the personality of a writer means the economy of dollars of expenses and the ability to write properly. In the interests of fire insurance employing hundreds of workers, it would be easy for a manager to learn through his special agents of the nationality of each officer, education, experience of the company, etc., and alter its match, then a house mail could be no way to judge a man, but by its single letter.
Letters
A sample letter is one of a series of letters to be sent on similar occasions. These letters are usually in imitation typewriting with blanks left of the name of the requested Party, and when executed lovingly close an imitation of a typewritten letter. Form letters different from those not to be distinguished from actual typing, Letter of actions by collection agencies, in which no effort is made to imitate the machine. Some authors use a number of short forms or inserts they use to dictate to avoid a repetition of dictation.
Letters of recommendation
Promiscuity written letters of recommendation has done much to debase the purpose of recommending. Many companies refuse such letters entirely. Perhaps the best plan is to have an employee, when leaving, use the name of his former employer as a reference.
